Executive Assistant Part-Time Position: 15 - 25 hours/week

Job Description:
The Executive Assistant will provide high-level, personalized support to C-Suite Executives. The Executive Assistant will anticipate needs while managing the day‐to‐day workflow of the company, which includes scheduling, project management, and participating in a wide range of special projects. This position is a part time role with the potential to grow into more. Initially the hours will be between 15 - 25 hours per week and will have some flexibility with time in the office vs. working from home.

Responsibilities:

  • Maintain schedules, including day-to-day and long-term management of meetings, projects, and priorities

  • Proactively identify opportunities to advance productivity, efficiency, process, and technology improvements

  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines

  • Assemble information for presentations, projects and strategic planning

  • Serve as the first point of contact for a wide variety of high-level relationships between Executives and external contacts

  • Develop and maintain efficient documentation and filing system

  • Manage event logistics and provide onsite support as needed

  • Complete expense reports for assigned Executives and company

  • Handle phone, email and postal mail inquiries and respond appropriately

  • Draft and edit correspondence, articles, reports and presentations; transcribe meeting notes

  • Coordinate and manage special projects, including working collaboratively with staff to meet deadlines

  • Cover front desk a couple of shifts a week

  • Running errands

  • Additional duties as assigned

  • Ability to works effectively without constant and direct supervision or guidance

  • Demonstrates flexibility in the face of change

  • Produces well thought‐out, professional correspondence free of grammatical and spelling errors

  • Excellent time management, organizational and interpersonal skills, with a proven ability to manage multiple projects and changing priorities

  • Interacts professionally with stakeholders and employees at all times

  • Promptly respond to requests with accuracy and a courteous demeanor

  • May be required to work at night or weekends to assist at special events, to manage workload or to meet deadlines

  • Demonstrates proficiency with Microsoft Office products and Google suite

  • Experience with or willingness to learn new software as needed 

SALARY
Initial three month trial at $18 - $20/hr.
